We’re hiring a motivated, hustle oriented, real estate executive administrative assistant to join our growing team! We work in a creative, fast past and exciting industry! We are looking for a dynamic individual to join our small, fast paced, growing boutique real estate team to assist with varying administrative tasks. A passion for working with people/our clients and customer service is very important. Fast learner, self-motivated personalities are encouraged to apply.This will be a part-time role that can grow into a full-time role. Responsibilities include administrative duties such as assisting and reporting directly to the CEO, scheduling meetings, trips, events, preparing and monitoring and tracking word, excel, powerpoint and Canva documents, keeping track of all transaction documents, maintaining communication with investors following up with potential investors on behalf of the CEO, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments. The ideal candidate will maintain office organization, cleanliness, and place orders for needed office items. This driven person will also support the property management team by assisting them with communication to clients and helping with assembling documents needed for clients. The ideal candidate should be a great communicator who is driven and highly detail-oriented with excellent writing skills. Competitive pay and full benefits package.

Responsibilities:

  • Acting as a first point of contact, dealing with correspondence and phone calls

  • Managing and communicating with investors and potential investors

  • Maintaining investor database

  • Managing and organizing meetings and appointments, often controlling access to the manager/executive

  • Booking and arranging travel, transport and accommodation

  • Organizing events

  • Reminding the manager/executive of important tasks and deadlines

  • Typing, compiling and preparing reports, presentations and correspondence

  • Managing databases and filing systems

  • iImplementing and maintaining procedures/administrative systems

  • Liaising with staff, suppliers and clients

  • Collating and filing expenses

  • Office organization

Looking for a dynamic individual to join our small, fast paced, growing boutique real estate property management team to assist with existing clients and growing the HOA (home owner association) property management business. Ideal candidate has a passion for property management, organization and creativity. Must be a fast learner, self-motivated personalities are encouraged to apply. Superb knowledge of Microsoft office, (word, excel and PowerPoint) and any property management software is a plus. Candidate will work with our existing client base/portfolio and assist in future growth. Competitive pay and full benefits package.

  • Maintain current client relationship and identifying areas for potential clients and growth

  • Delivery a high level of customer service through prompt communication

  • Be responsive to clients for maintenance tasks

  • Have an understanding of how HOA’s work

  • Work within Onpoint’s property management software

  • Ongoing communication with clients, scheduling appointments, confirming maintenance quality.

  • Knowledge of resale certificates and other HOA documents

  • Must be tech and social media savvy.

  • Strong communication skills required: verbal and writing.

  • Experience with HOA and general property management preferred
